Off-Site Examinations

QUALIFICATIONS

Students enrolled in a Natural Science fully online or blended course that reside more than three hours travel time from the main campus are eligible to write their exams off-site at the nearest college or university.

REQUIREMENTS

Once approved to write off-site, you are expected to travel up to three hours (one way) to your remote site.  Exam MUST be scheduled with one of our contact centres.  Students are NOT permitted to appoint their own invigilator without approval by the Division of Natural Science.  Invigilators who are not connected to one of our published off-site centres will not be considered, unless chosen by our Office.  Your examination date and time MUST coincide with the on-campus exam and not precede it.

Cancellations:  If you decide to cancel your off-site exam, you are required to inform the Division of Natural Science (natsexam@yorku.ca), the host institution (invigilator), and your instructor BEFORE the off-site exam date.

PLEASE NOTE THAT ALL OFF-SITE EXAM FEES ARE NON-REFUNDABLE.

 

All students requesting an off-site examination must follow this procedure to ensure their request can be processed on time.  To ensure your request can be processed by the time of your examination, we ask that all students submit their request 10 business days PRIOR to their exam date.  Failure to do so, the Division of Natural Science is not responsible if a student misses their exam(s).

Inform the Course Director:  Inform the Course Director as soon as you enroll in your Natural Science course that you are writing your exam off-site, and that your exam is being arranged through the Division of Natural Science.

Confirm the exam format with the Course Director:  Students are required to inform our office (natsexam@yorku.ca), the host institution (invigilator), and the Course Director prior to the off-site exam date and time.  Failure to notify the parties listed above before the off-site exam date and time will result in the loss of your off-site exam payment.

Pay the off-site payment fees:  There is a $30 administrative exam fee charged by York University to cover administrative arrangement costs.  Exam supervision/invigilation fees per exam can range from $5 to $200 or higher, depending on the costs of the host institutions.  Fees are determined by the host institution, and students are required to pay these fees directly to the host institution.  This is in addition to the administrative $30 fee per exam cost charged by York University.  As an example, if your course has two midterm exams and a final exam, the total cost to write your exams off-site could range from $90 to $690 CAD.

The listings below contain post-secondary and government contacts located around the world.  Please refer to them for your exam invigilation services.  If you contact an institution on one of our lists that no longer/or does not provide these services, please let us know and we will assist you in finding an official invigilator: natsexam@yorku.ca

Please be advised that the listings are meant to help students find an institution where they can write off-site examinations.  We do not guarantee that those institutions will offer their services to students.  Therefore, please contact the institutions prior to enrolling in your courses to find out if they will offer the invigilation services and at what cost.

OFF-SITE EXAM FEES

There are 3 different fees for invigilation/off-site exams:

Administrative fee charged to your York University student financial account: There is a $30 administrative fee for each off-site examination requested.  Students are required, when cancelling exams, to inform our office, the host institution (invigilator), and the instructor prior to the off-site exam date and time.  Failure to notify the parties listed above before the off-site exam date will result in the loss of the pre-paid exam fee.

Invigilation (supervision) fee payable to your Host institution:  Exam supervision/invigilation fees are determined by the host institution, and students are required to pay these fees directly to the host institution.  This is in addition to the administrative $30 fee per exam cost charged by York University.

Courier/mail services fee for the return of your original, completed exam:  Please check ahead of time to see if this service is included with your invigilation (supervision) costs, or if there is a separate fee.  The invigilator will be returning your original, completed exam directly to the Division of Natural Science via mail/courier. Originals are not to be kept by the host institution.  Check to see if these services will be included with your host institution fees.
